COLUMBUS, Ohio, February 12, 2018 – Cott Systems, Inc., an innovator in public records management solutions for more than 130 years, is pleased to announce an extensive digitization project for the Dubuque County, Iowa, Recorder’s Office. When complete, the result will give staff and the public 24/7 access to search electronically indexed data and display the associated images online.

"Getting this project complete is essential from a disaster preparedness standpoint," said Dubuque County Recorder John Murphy. “When we are done, everything will be available online. If this office were to burn down, for example, we could go set up a computer and scanner, and as long as we had internet access, we would be back in business. It will also drastically reduce the amount of traffic we have coming into the building to look at these records. People will be able to do it on their home or office computers."   

The project is a continuation of Dubuque County’s Historical Records Preservation effort that was started in 2012 with Cott Systems. At that time, documents containing deeds, mortgages, liens and other official records from 1972 through 1996 were not included in the original project scope. These records are contained on aperture cards which require special equipment for digitization. For this new phase of Dubuque County’s preservation effort, Cott Systems will capture and catalog images of the aperture cards and import those images into the County’s existing records management software.

“The Recorder's office is now moving forward to include these documents in the office's land records management system. This will provide online access to the information while also ensuring that the County's valuable records are preserved and backed up electronically," said Eric Foreman, Business Solutions Manager, Cott Systems, Inc.
