Grant County Indiana Implements Cott Systems Resolution for Records Management

Grant County, Indiana, founded in 1832, was named after the frontier fighters Moses and Samuel Grant. Situated in the northern part of the state, the area has made the transition over the years from a hunting ground for Indians to Hoosier farmland. The busy county recorder’s office is located in Marion, a city of approximately 30,000 people.

CHALLENGE AND VISION
The Grant County Recorder’s office was seeking an automated system that would allow them to process records efficiently and effectively. Prior to the implementation of Cott’s Resolution, the staff had to rely on an antiquated system that was difficult to use. Their goal was to implement a solution that was Windows-based, more friendly and easier for staff to navigate.

“We decided to look for an improved system that was more up to date and would allow us to operate more efficiently, explained Dixi Fischer Conner,” Grant County Recorder.

SOLUTION
After reviewing various solutions, Grant County decided to implement Cott Systems RESOLUTION to manage their land filings. As with most County Recorder Offices, the team in Grant County had special needs to accommodate the way they do business.

“Cott accommodated our special requests for information and made adjustments to the system to meet our requirements,” noted Conner.

RESULTS AND FUTURE PLANS
Since the implementation of Cott’s RESOLUTION, the recorder’s office has quickly experienced improvements in productivity and efficiency. The team is also benefiting from the cashiering, imaging and retrieval features of the system.

“Our employees have found the new system to be more efficient and easier to work with. It makes the workload lighter. For example when we enter a document, we can now print a receipt for the customers,” said Conner.

“Customers have already seen the benefits—it’s more professional and it’s faster for the researchers,” noted Conner.

Conner’s future plans for Grant County include continuing to improve customer service by making the system available for fee-based online access for those who need to research land filings.
