Cott Systems, an innovator in public records management for nearly 130 years, is today’s technology leader for recording, imaging, and searching land and court records with over 400 active systems across 21 states. Cott has been a member of IACREOT (now known as iGO) since its inception 46 years ago. We remain actively involved in many regional and national organizations across the US, including PRIA and iGO. Headquartered in Columbus, Ohio, Cott is a privately held corporation and is certified by the Women’s Business Enterprise National Council (WBENC). 

History of Products and Services
Cott has been delivering innovative products and services since our inception in 1888, when we served local governments by designing “modern” manual index systems. These systems improved research ability for the public by helping them to locate the desired record book and page reference. As early as the 1930s, our staff was reindexing old, inefficient systems into Cott developed indexes. Although the process was time consuming without the aid of computers, the resulting product was praised by the searching public for its effectiveness. You can still find many of these paper-based indexes in Recorders’ offices today.

The reindexing expertise we gained from our heritage is still in great demand today. We combine our experienced Data and Image Services staff with the talents of our Technology Solutions team members to develop and provide all the services a County Recorder, Town Clerk, or Register of Deeds needs to meet the goals of preserving and modernizing the rich land history of their area.

With the rapidly changing world of computer technology, we enhanced our relationship with local governments by expanding our company as a service bureau in 1964. We continue to provide data processing services today and periodically produce alphabetized indexes for land and other vital records.

As computer technology became more affordable for large government entities in the 1970s, we developed systems that produced alphabetized indexes on site. We complemented this service with long-term merges of records from flexible disks or magnetic tape.

In the 1980s, dramatic decreases in the cost of computer systems made it possible for many local governments to take advantage of improved efficiencies by centralizing their operations (as opposed to distributed processing with various systems housed in affiliate offices). With this centralization came the opportunity for local governments to improve customer service and realize fee income by providing the private sector with computer access to public records.

The 1990s saw document imaging become a central strategy in land and vital records management for local government. With our vast experience in designing and supporting indexing systems, Cott developed a document imaging system for a total records management solution. Since our first installation in 1993, our records management solutions have been “re-invented” several times and continue to be enhanced to take advantage of new technologies and hardware.

Our accumulated experience drives today’s innovative systems for recording, imaging and searching land, court, and other official records in 20 states. Cott retains its expertise and knowledge by active involvement in many associations such as iGo, PRIA, and state organizations. We also have a unique representative group of officeholders who are Cott customers advise our executive team of trends occurring in their states and regions.

Cott Solutions Today
Resolution3 is a robust land records management system that provides all the tools needed for cashiering, indexing, imaging, archiving and retrieving documents. This includes system access via the Internet, eCommerceeFiling and eRecording. Our newest land records solution, RecordRoom, is a web-based solution that offers the latest cloud technologies. Cott’s Online Index Books delivers digital representation of original historical records and indexes online to the viewing public. We also help county officials protect their constituents from property fraud with our PropertyCheck alert system that is included in Resolution3. Verdict, a comprehensive case management system, eases the entry, management and disposition of court cases for local Clerks of Court. Cott iQ is our industry leading intelligent search that crosses all of our product offerings. Complementing our software systems are data and imaging services: redaction, backfile imaging, reindexing, books, binders and paper, index print outs, and microfilm.
